The Club publishes members' names and contact details bi-annually in a club handbook shared only with club members, including honorary and ex officio members. Members are given the option about which personal information will be shared. The majority of communication by the Club is otherwise by email and through the Club Secretary (the data protection officer) and the twice yearly Newsletter and by access to the website notifications.
In brief: The Secretary holds full details all club members on a standalone database which is not available to others. The details retained are only as provided by individual members on the membership application. From time to time the Secretary will share details from the membership database with the Club Treasurer in order to facilitate the collection of Club subscriptions and to ensure continuity of membership in accordance with the Club rules. All personal details are only collected and used to enable the Club’s aims and objectives to be met and for no other purpose. All care is taken to ensure that members details are not shared or advertised in anyway with unauthorised persons.
